Welcome to Haptrip. These Terms and Conditions govern the use of www.haptrip.com and all enquiries, quotations, payments and travel bookings made through Haptrip.

By using our website, accepting a quotation, making a payment or confirming a booking, you agree to these Terms and Conditions, our [Cancellation & Refund Policy], [Privacy Policy] and any booking-specific terms communicated to you.

1. About Haptrip

The legal entity named on the applicable quotation, invoice, payment receipt or booking confirmation will be the contracting entity responsible for that booking.

Throughout these Terms and Conditions, “Haptrip,” “we,” “us” and “our” refer to the applicable contracting entity. “Customer,” “traveller,” “you” and “your” refer to the person making the booking and every traveller included in that booking.

2. Our role

Haptrip provides travel planning, coordination and booking services. We may arrange:

  • Hotels and other accommodation;

  • Flights, trains and other transportation;

  • Airport and intercity transfers;

  • Sightseeing tours and activities;

  • Cruises and ferry services;

  • Visa and travel-document assistance;

  • Travel insurance; and

  • Other travel-related services.

Many services are provided by independent third parties, including airlines, hotels, transport operators, destination-management companies, guides, visa-processing agencies and activity providers.

Unless expressly stated otherwise, Haptrip acts as a travel arranger or intermediary. Each service is also subject to the terms, availability and operating conditions of the relevant supplier.

3. Quotations and availability

All quotations are based on the information provided by the customer and the availability and prices applicable when the quotation is prepared.

A quotation is not a booking confirmation. Prices and availability may change until:

  1. The required payment has been received;

  2. Traveller details have been provided;

  3. The requested services have been secured; and

  4. Written confirmation has been issued by Haptrip.

Any validity period mentioned in a quotation applies only to the quoted price and does not guarantee availability.

4. Booking confirmation

A booking is considered confirmed only when Haptrip issues a written confirmation, invoice, voucher or booking acknowledgement.

The customer must carefully check:

  • Traveller names and personal details;

  • Travel dates and destinations;

  • Flight and transport details;

  • Hotel, room and meal-plan details;

  • Inclusions and exclusions;

  • Cancellation conditions; and

  • The payment schedule.

Any error must be reported immediately. Changes requested after confirmation may be subject to supplier charges, fare differences and applicable service fees.

5. Traveller information

Traveller names must be provided exactly as shown on the passport or government-issued identification that will be used for travel.

The customer is responsible for the accuracy of all names, dates of birth, passport details, contact details and other information supplied to Haptrip.

Haptrip will not be responsible for any additional expense, cancellation or travel disruption caused by incorrect or incomplete information provided by the customer.

The person making the booking confirms that they are authorised to accept these Terms and Conditions on behalf of every traveller included in the booking.

6. Prices, taxes and currency fluctuations

The confirmed package price includes only the services expressly listed under “Inclusions” in the quotation or booking confirmation.

Anything not specifically mentioned as included will be considered excluded.

Package prices may be affected by:

  • Currency exchange-rate fluctuations;

  • Airline fare changes;

  • Hotel or supplier rate revisions;

  • Government taxes and tourism levies;

  • Fuel surcharges;

  • Visa-fee changes; and

  • Other statutory or supplier-imposed charges.

Once a booking is confirmed, Haptrip will not ordinarily revise the price unless the change arises from a government tax, statutory levy, customer-requested amendment or another condition disclosed before confirmation.

For packages quoted in a foreign currency, the applicable conversion rate will be communicated at the time of payment.

GST, Tax Collected at Source (TCS) and other applicable taxes will be charged according to the laws and rates in force on the relevant transaction date.

7. Payments

Payments must be made according to the schedule mentioned in the quotation, invoice or booking confirmation.

Haptrip may be unable to hold or confirm services if payment is not received by the specified deadline. Failure to pay on time may result in:

  • Changes in price or availability;

  • Release of reserved services; or

  • Cancellation of the booking under the applicable cancellation conditions.

Payments must only be made to an authorised bank account, UPI ID, payment link or other payment channel officially communicated by Haptrip.

Haptrip is not responsible for losses resulting from payments made to an unauthorised person or account.

A payment is considered received only after it has been successfully credited to the account of the applicable contracting entity.

8. Passports, visas and immigration

Every traveller is responsible for ensuring that they possess a valid passport, visa, permit, vaccination certificate, insurance document and any other document required by the destination or transit country.

Passport validity, blank-page requirements and entry conditions vary between destinations and may change without notice.

Where Haptrip provides visa assistance, our role is limited to administrative support unless expressly agreed otherwise. The decision to approve, reject or delay a visa rests entirely with the relevant embassy, consulate or immigration authority.

Visa fees and processing charges may be non-refundable, including where an application is rejected or delayed.

Haptrip will not be responsible for losses resulting from visa rejection, immigration refusal, insufficient passport validity, incomplete documentation or failure to comply with entry requirements.

9. Flights and transportation

Airline schedules, routes, aircraft, baggage allowances, seat assignments and operating conditions are controlled by the respective airline and may change without prior notice.

Flight cancellation, amendment, refund and no-show conditions will be governed by:

  • The airline’s applicable fare rules;

  • Applicable aviation regulations; and

  • Any conditions communicated before ticket issuance.

Travellers must reconfirm flight timings and complete check-in within the time prescribed by the airline.

Transfers and sightseeing timings may change because of traffic, weather, road conditions, local restrictions or operational requirements.

Unless expressly mentioned, a private vehicle is provided according to the itinerary and is not available for unlimited or personal use.

10. Hotels and accommodation

Hotel classifications and star ratings are based on local destination standards and may differ between countries.

Standard hotel check-in and check-out timings will apply unless early check-in or late check-out is specifically confirmed.

Special requests such as adjoining rooms, specific floors, room views, smoking preferences and particular bedding arrangements are subject to availability and cannot be guaranteed unless confirmed by the hotel.

Hotels may collect refundable security deposits, city taxes, resort fees or incidental charges directly from guests where these are not included in the package.

If incorrect child ages or occupancy details are provided, any additional charge imposed by the hotel or supplier will be payable by the customer.

11. Itinerary and service changes

Travel arrangements may occasionally be modified because of weather, safety concerns, supplier operations, government restrictions, traffic, road closures or other circumstances.

Haptrip may reasonably change the sequence, timing, route, hotel, vehicle or manner in which a service is delivered.

Where a confirmed service becomes unavailable, reasonable efforts will be made to offer a comparable alternative. Any price difference for a customer-requested upgrade or alternative will be payable by the customer.

Minor operational changes that do not materially reduce the overall value of the trip will not ordinarily qualify for compensation.

12. Changes requested by the traveller

Requests to change travel dates, traveller names, hotels, flights, room categories, destinations or other confirmed services are subject to availability.

The traveller will be responsible for:

  • Supplier amendment or cancellation charges;

  • Any increase in fare or package price;

  • Visa or documentation expenses; and

  • Any applicable Haptrip amendment or service fee disclosed before the change is processed.

A change is confirmed only after written confirmation is issued by Haptrip.

13. Cancellation and refunds

All cancellation requests must be submitted in writing to holidays@haptrip.com.

Cancellations and refunds will be governed by:

  • Haptrip’s published Cancellation & Refund Policy;

  • The booking-specific conditions provided before payment;

  • The applicable supplier’s terms; and

  • Applicable laws and regulations.

Certain services may be partially or completely non-refundable, including promotional hotel rates, flight tickets, visas, insurance premiums, cruises, attraction tickets and special-event bookings.

Where a refund is due, Haptrip will provide a calculation showing the applicable deductions. Approved refunds will be returned through the original payment method unless another method is agreed in writing.

Travel credit or a credit note will only be provided where permitted by the supplier and accepted by the customer.

14. No-show and unused services

No refund will ordinarily be provided for:

  • Failure to arrive or report for a confirmed service;

  • Missed flights, transfers, tours or activities;

  • Late arrival;

  • Voluntarily unused services;

  • Early departure from the trip; or

  • Services denied because the traveller did not possess the required documents.

Any unused component remains subject to the respective supplier’s rules and applicable law.

15. Supplier cancellations and disruptions

If an airline, hotel or another supplier cancels or materially changes a confirmed service, Haptrip will provide reasonable assistance in arranging:

  • A suitable alternative;

  • A revised itinerary;

  • Travel credit, where accepted by the customer; or

  • A refund, where applicable.

The nature and value of the remedy will depend on the supplier’s policy, the amount recoverable and applicable law.

Haptrip will not charge an additional refund-processing fee where such a charge is prohibited by applicable law.

16. Force majeure

Haptrip will not be responsible for failure or delay caused by circumstances beyond its reasonable control, including:

  • Natural disasters or extreme weather;

  • War, terrorism or political disturbances;

  • Strikes or civil unrest;

  • Epidemics, pandemics or public-health restrictions;

  • Government orders or border closures;

  • Flight or transport disruptions;

  • Technical failures;

  • Road closures;

  • Changes in visa or immigration rules; or

  • Closure of hotels, attractions or tourism services.

In such circumstances, Haptrip will provide reasonable assistance with alternatives, rescheduling, credits or refunds. Any refund will depend on the amount recoverable from the relevant supplier and applicable legal requirements.

17. Health, safety and travel insurance

Travellers are responsible for determining whether they are medically fit to travel and participate in the selected itinerary and activities.

Medical conditions, pregnancy, mobility limitations, dietary requirements and special assistance requirements must be disclosed before booking.

Participation in adventure activities may involve inherent risks and may require a separate supplier declaration or waiver.

Haptrip strongly recommends purchasing appropriate travel insurance covering:

  • Medical emergencies;

  • Trip cancellation or interruption;

  • Baggage loss or delay;

  • Personal accident;

  • Passport loss; and

  • Personal liability.

18. Traveller conduct

Travellers must comply with local laws and the reasonable instructions of hotels, guides, drivers, airlines and other suppliers.

Haptrip or a supplier may discontinue a service where a traveller’s behaviour:

  • Creates a safety risk;

  • Causes serious disruption;

  • Damages property;

  • Harasses another person; or

  • Violates applicable law.

No refund will ordinarily be payable for services discontinued because of a traveller’s misconduct.

19. Website content

Information on the Haptrip website is provided for general guidance and may be updated without prior notice.

Destination photographs, hotel images and other visuals may be illustrative. Actual facilities, views, weather conditions and destination experiences may vary.

While reasonable efforts are made to keep information accurate, operating hours, prices, entry requirements and supplier facilities may change.

20. Intellectual property

The Haptrip name, logo, website design, graphics and original content belong to or are licensed to the applicable Haptrip entity.

They may not be copied, reproduced, modified, distributed or commercially used without prior written permission.

Third-party names, photographs and trademarks remain the property of their respective owners.

21. Third-party websites

Our website may contain links to external websites for convenience.

Haptrip does not control and is not responsible for the content, availability, security, accuracy or privacy practices of those websites. Customers should review the applicable third-party terms before using them.

22. Responsibility and limitation of liability

Haptrip will exercise reasonable care while selecting and coordinating travel suppliers.

Independent suppliers remain responsible for delivering their respective services. Haptrip will not be responsible for a supplier’s independent act or omission except where liability arises directly from Haptrip’s negligence, misconduct or breach of applicable law.

Haptrip will not be responsible for indirect or consequential losses that could not reasonably have been anticipated when the booking was made.

Nothing in these Terms and Conditions excludes or limits any consumer right or liability that cannot legally be excluded.

23. Privacy and communication

Personal information will be collected, used and shared according to Haptrip’s Privacy Policy and applicable law.

Information may be shared with airlines, hotels, transport companies, destination partners, visa-processing agencies, insurers and other suppliers where necessary to process or provide the booked services.

By submitting an enquiry or making a booking, the customer agrees to receive booking-related communication through telephone, email, SMS or WhatsApp.

Marketing communication will be managed according to the customer’s consent and applicable law.

24. Complaints and grievance redressal

Any problem experienced during the trip should be reported immediately to Haptrip and the relevant supplier so that reasonable efforts can be made to resolve it.

A complaint submitted after the trip should include:

  • Booking ID;

  • Lead traveller’s name;

  • Description of the issue;

  • Relevant photographs or documents; and

  • The resolution requested.

We aim to acknowledge formal grievances within 48 hours and work towards resolving them within 30 days.

25. Governing law and dispute resolution

These Terms and Conditions are governed by the laws of India.

The parties should first attempt to resolve any dispute through written communication and good-faith discussion.

Subject to applicable consumer-protection rights, any legal proceedings will be brought before a court or forum having competent jurisdiction.

Nothing in these Terms and Conditions prevents a customer from approaching an appropriate consumer dispute-redressal commission or exercising any other statutory remedy.

26. Updates to these terms

Haptrip may update these Terms and Conditions periodically.

The terms applicable to a confirmed booking will ordinarily be those provided or published when the booking was accepted, together with any booking-specific conditions agreed in writing.
